Who we share it with
- Our van hire insurance intermediary, insurecarhire.co.uk (Ramasis Limited), and the insurers they place cover with, to arrange cover and handle claims.
- The DVLA, when we use your check code to view your licence record.
- Service providers who run our systems for us: Squarespace (website and enquiry forms), Microsoft (email), Xero (invoicing and accounts), our card payment provider and our online form provider.
- The police, local authorities, courts or our professional advisers where the law requires it, to deal with fines or offences involving a hired vehicle, or to recover money owed.
We never sell your information. Some of our service providers may process data outside the UK; where they do, they use safeguards recognised under UK law, such as the UK adequacy regulations or approved contract clauses.

- Van hire driver documents and checks: 3 years after the hire ends, as our insurer requires.
- Contracts, invoices and payment records: 6 years after the end of the financial year they relate to.
- CCTV: normally no more than 30 days, unless needed to investigate an incident.
